Microsoft 365 Video Training – Microsoft 365 Storage Tools

Microsoft 365 Video Training – Microsoft 365 Storage Tools

Training Theme

In Microsoft 365, document storage is shared between OneDrive, SharePoint and Teams. Choosing the right place is not always obvious: personal files, team libraries and shared workspaces all serve different needs. This course clarifies when to use each tool so you can create, organize and find files more easily.

You will practise managing your OneDrive space, creating files and folders in a SharePoint library, opening documents online or in desktop apps, renaming files, filtering views and locating content quickly. You will also see how to collaborate with the right sharing link, request files and adjust access rights.

The final section focuses on day-to-day security and recovery: syncing content to your computer, checking permissions, applying OneDrive security best practices, protecting documents with a password or expiration date, restoring deleted items, using version history and making a document read-only when needed.

Learn more about Microsoft 365 storage

OneDrive and SharePoint form the backbone of document management in Microsoft 365. OneDrive is best suited to personal files and occasional sharing, while SharePoint is designed for shared libraries, structured information and more precise permission management within a team or project.

Together with Teams, they provide a complete environment for creating, storing, sharing and co-authoring files. They also help you sync content with your computer, track versions, restore deleted documents and keep better control over how information circulates.

Using Microsoft 365 storage tools well improves collaboration, reduces the risk of losing files or sharing them too widely, and supports safer day-to-day habits. Whether you need to find a document, share it with the right access level or restore an earlier version, these tools are now essential in professional work.
