You're late in submitting a report, so you finish a document

from your PC at home.

So how do you then inform and notify all your colleagues who

are interested in the report's publication ? In addition, you've already

shared a version in progress. You had to ensure the latest

version is what gets access to news by your colleagues.

So now I can see how some of these tools can

help us in that regard.

So with Office 365 your workers get access to the cloud.

They can get access to shared documents.

And they can share their own documents and files

with coworkers and external contacts if they want to as well.

Then they could also view and edit documents offline or online

and collaborate in real time on online files with their colleagues.

So let's first do a quick introduction to

Office 365 environment.

So Office 365 is a subscription service from Microsoft, that

gives organizations cloud based environment, not only for
00:02:03
communication with colleagues and working together
00:02:05
collaboratively but also for storage of files and documents.

It provides organizations with a cloud based Mail service through
00:02:12
the Exchange online service, cloud based communication tool,
00:02:15
and service, through Skype for Business online, and cloud based
00:02:18
websites for SharePoint online.

It will supervise online versions of the Office application
00:02:23
suite, such as Word, Excel, PowerPoint, and OneNote.

And you can access your Office 365 subscription portal by
00:02:29
navigating in a web browser to

portal.office.com. And this could be done for all kinds of
00:02:35
devices such as notebooks tablets, and mobiles, and home
00:02:39
PC's and so on.

And when you log in it will take you to your home page

or your landing page.

And for me, you can either click the icon on the Top left corner

So let's have a quick look at that live environment in our

is accessible from wherever you are so you don't have to go back to

is little ellipsis button that pops up. So that means that you can

add tiles to it. We can remove tiles from it. So if

click on that and choose "Unpin from launcher" and then move it.

Couple of things I want to show you on here is

So I click on the settings. You can do things like change your

theme for example, you know look and feel type stuff.

You can see, there's plenty to choose for lots of different colors

some are animated, some are not, all sorts of things in there like.

cats, and robots, and

different colors, and themes, and so on. So let's just

choose one from that list, there, choose the bricks.

And you can save that theme.

And you can also see from here, we can do things like modify

notifications, change our password, change language

settings, and we can also change this landing page to start page.

So if we choose rather than using the Office 365 home page

which is what it's currently set it as the default. Perhaps you

want to set it to be Mail, which means you know when we next log

into the tenancy, on this portal, it will open up in

So it's useful if you use mail more often than any other of those service.

settings down again. I'll just show you how to launch these

And we can see that theme that we selected sort of

So, in here we saw the portal, we saw how to access the portal

So let's start to have a look at some of these different

applications that are going to help us in our

So whether you decide you're going to finish your report online

or offline, or on your home, or work computer...The document access

will be different in each case, whichever you choose, though

it's easy to hide the downloaded documents work with offline and
00:07:43
it's also easy just to work with it in the online environment as well.

So, in OneDrive...

So we're looking at here or another document library in

SharePoint site for that matter. You can simply right click on

documents and files in there, to get access to the
00:08:00
various options available, like sharing it, and viewing it and so on.

You can also click the ellipsis button. That's a

little 3 dots next to the item in there. I will show you this in
00:08:09
a live environment in a moment and the kinds of things you

can do when you click on there.

Or right click on a document.

It allows you to do things like preview the document, open it,

using either the full Office application or the online version of it.

You can share the document with different

people or using a link as we'll see, and you can modify the

permissions and viewers permissions on our shared document.

You can also do other things like download the document as you said

for offline use, offline

modification, and you can also do things like follow the document.

Last thing we're gonna have a look at as well in a moment is looking at

the version history of documents. So this version

management going on, so you can right click on document, view its

version history, see how many versions there are, who made
00:08:56
it and when, any comments that been made on those amended versions

and you can also use the links in the Dropdown as you'll see in

view that previous version, delete it or even restore it

back again. If you want to go back to... back in time to an

earlier version of that particular document.

Now, the people you shared documents with get automatically

notified if modifications are made to the document, and set terms

the beneficiary so... Once you've had a document shared

with, it will let you know when there's been changes

made to the document automatically. So let's go and

have a look at that in the online live demo environment.

So we can access OneDrive, either from the home page here,

can see this is just a single document in there in that moment, and it

shows you know when it was modified, the size, who is

modified by, and if it's been shared with anyone. So it says

"Only you", so it's not been shared with anyone at the moment.

There is a few ways working with this document here, you can either

select the file over on the left and then use the menu bar that

appears at the Top to do things to it, like open it, share it,

download it, delete it, move it, copy, rename, and look at version

history, so that's one way of doing that or without

selecting it, you could just right click on the document.

Get this sort of context menu here again, you got the

same sort of options you can see up at the Top here, so open in

the online version of Word, or opening the full blown Word application.

Share it, get a link to it, download, delete,

move, copy, rename, and version history as well. So the same

So if you click on "Download", you can download a copy of it

locally and work on it that way, or if you want to work on it in

So how to open a document would just click... right click it.

Choose "Open in Word online".

And then open up on a separate tab.

And we can now see Word online loading.

As you can see there is access to all the various tools that you use, all

the common tools that using Word.

And one thing I notice straight away if you just have a

look in this Top menu bar. It shows "Document" and "Saved" at the

moment, it showed you I'm the one who's working on it.

If I make some changes to that document, start just typing in...

You'll see it changes to say "Saving" and then "Saved" again, very
00:11:54
quickly so within a few seconds ago, from "Saving" to "Saved".

So that's one thing to know when you're working the online

versions that there's no "Save" option in the file menu. So

there's a "Save as" but there's no "Save" because you don't need to
00:12:06
'cause it saves automatically, 'cause you're working the online version.

And the file is stored online.

Notice you can also choose "Edit in Word", so that

would then open up the document and be editing it in
00:12:16
the full blown version of Word or often in Word online.

Just switch back to OneDrive again.

So we can open it, using other version. You can also do things

like share it. Again we'll use the right click. Here are the Top

menu just to show you what we can do here. So click on "Share".

That allows us to either share it using an invitation

so we can choose to enter the name of someone.

Let me share with one of my users call "Vivien Goude", I can

decide whether I should allow them to view the document when

I share it with them or edit it.

Sort of "read or or change" essentially.

I can add a message that will be sent to him as well, as

part of this sort of sharing

invitation or... Perhaps tell him something about the document or

what to do with it for example, or something like that.

You can also choose the options here with the require sign in or not.

So if you don't require sign in it's more like an enormous invitation to that

picture, document, and you can send an

email invitation so they receive it in their inbox and they'll

know that you've shared that document with them. So that's

inviting people specifically by putting entering their names in

here. You can also share documents using a link.

So with this method you're providing a link to the document

and again, you can choose the type of link you want to

provide. Is it going to be restricted link only for specific people ?

Rather than to anyone anonymously, and then these other

links down here are kind of anonymous links. So you link for
00:13:47
a log which requires sign in for that company and edit link that
00:13:50
requires sign in and then there's a totally anonymous
00:13:53
view link, and an anonymous edit link. So each of these when you select
00:13:56
it just gives you a different type of link. When you click on "Create".

It creates a link which you can then... You can see they can
00:14:04
just click on "Copy". You can set an expiration on that link as
00:14:07
well if you want to. If you want it to last for a day or something.

And click on "Copy" and then once that's been

copy to the clipboard for example, you could do

something like open up Skype and type it into a chat

message window or something like that. Paste it into there

and it just pastes in that URL link to the document in that

essentially is a link to the location under guest token.

That's provided as part of that link to let them

So different types of links are available in there. So based on

whether that person has to sign it or not, whether you want to be

able to view it or edit it as well. You can also from this

users this document has already been shared with. You can stop sharing from here,

you can email everyone that's in the share list.

You can click on "Advanced", it will take you off to more advanced permission

So other things we can do... Download it for example.

Delete it, move it, copy it, rename it and something else.

And we can also look at the version

history. So we click on "Version history".

That will show us, the different version, so you can

see, there's sort of a current version 3 and then previously

2, and 1. The date and time those modifications are done and who

by and what the sizes and potentially some comments as well.

Similar process occurs when you're in a document library,

saying the SharePoint site. This is a very similar way of working. You

can right click, and get back to the same types of tools down

here. Again, you can open it in Word, in Word online and download, and share,

and so on. Version history, same sort of

capabilities. One extra thing you can see in here also is when

that information with your colleagues so they're aware.

And several methods of doing that.

In terms of enterprise social network, Yammer, you can

invite people so you can invite individual users.

Share that information as an

update. Try this sort of a single recipient of that. You

can use groups to send the information to several

recipients and you can use a catch all option, well, for
00:18:50
the whole company as you'll see to allow you to notify

everyone in one go, via an update, about an update to a file.

You can also attach files as part of the update

or you can just mention something or provide a link

to the document in there. Instead, if you'd rather than access

it highly shared resource in OneDrive.

And also notifications will be popping up, allowing people to

see updates been sent by the people who are members of this

community. This is a Yammer group, so it shows you updates

at occurring. You can do the kind of typical things you do with

social networking tools, to follow your document, or a conversation

and like it, and reply to it, share it, so I can click on "Share".

And then share that conversation by posting

it to a group for example, I can notify specific people.

And I can also send it as a private message.

Click on the ellipsis button next to that. It gives you a few more options

as well. Like stopping the following of

group membership, that kind of thing... And same thing with notifications,

And the last thing to see in here is also the search tool,

it's available to let you search for groups, or for particular resource

So Office 365 provides easy access ability to those tools,

easy sharing capabilities, easy editing

and co-authoring, using online versions and online files.

One drive provides us with access to those files and

makes it easy for us to share them with people either within

the company or externally, using either links or specific

invitations. And along with Yammer, which is perhaps Yammer groups

dedicated to particular topics and subjects, you might be

working on, or clients you're working on, there's lots of

collaboration tools level in there, you can inform people

about changes, post updates or information about the project or

the report and let them know when there's been updates

to those files using notifications.
