I'll start by looking at document libraries and how to drop files in the library

and upload files into folders in the library.

We will then discuss how to share files stored in SharePoint Online

and how to edit files using the online version of the Office suite of applications.

Lastly, we will look at how to synchronise online data with your local computer

so you can continue working even when you're offline.

So first of all, we'll look at Document libraries.

So Document libraries in SharePoint Online are sites generally in SharePoint Online

allow you to work in collaborative teams by storing
00:01:49
and sharing files and co-editing documents simultaneously.

They contain document libraries and lists
00:01:55
and enable users to work collaboratively online.

So those document libraries provide a secure place for storing your files

where you and your co-workers can easily find them,
00:02:03
work on them together, access them from any device anytime.

So for example, you could use Document library on a site in SharePoint Online
00:02:09
to store real files related to a specific project or specific client, for example.

The default site you get in SharePoint Online includes document library already
00:02:19
and one is created automatically for you when you create a new site.

You can add additional document libraries to a site as
00:02:24
and when you need them and this is useful for example

if you want to restrict access to a set of files.

Each document library displays a list of those files and folders

and key information about each item such as who created it,
00:02:36
when it was last modified and that sort of thing.

And you can use that information to organise your files

and make it easier to find them.

There are several things you can do in a Document library.

You can add, edit, delete and download documents.

You can also collaborate and co-author on documents.

You can control who's got access to a library or folder in a library

or individual files that are in a library.

You can track the activity on a file such as when it was last modified

and also receive notifications when something gets changed.

You can create custom views for document library as well to add in

further columns or different views to the library.

You can share files or folders and others as you'll see in a moment.

You can add links to a document library to something stored outside,

so you can add links to the navigation menus.

Those could be to files located in a different library or possibly

a link to an external web page for example as well.

You can also highlight links and files and folders in the document library

so others can get to them more quickly

by making them a highlighted item in the list.

So you can see on this screen a document library with a few files inside it.

We'll go through some of these things in a moment.

So SharePoint does offer you the ability to store your documents

for your teams with custom views.

What we're looking on the first screenshot is the kind of old view

and the second which is the sort of a modern document library view

in the second screenshot you can see that's just popped up

is called a Classic SharePoint view and I'll show you what the difference is

between those as we get through as well.

Essentially, you can see the tools available on this library tab over here

that lets you do things like Modify your current view.

And we'll see a little bit of that in the demo in a moment.

So the kind of things you can do to Document library when you right click on it are:

you can open it, you can share with someone,

you can collaborate on the document real time, you can look at permissions on the document,

download it and also you can just look at the version history of documents over time,

see how many versions of it has been,

what modifications are made and then potentially open an older item,

or restore it or delete it if you need to.

In terms of documents and files, kind of things we can do to them.

So I could open that file in PowerPoint or if I've got the full version

or I could open in the full version if I have the full app installed locally,

The other thing I can do to this file here is, so you can see I can Share it,

Download it, Delete it, Pin it to the top of the list,

Move it somewhere else, Copy it somewhere else, Rename it.

We can also look at things like Version history as well,

so I click on Version history, that will show me

if there's been multiple versions of that file and any edits and changes to it along the way

and if any comments have been added, I'd see it in that column over there.

And when you've got multiple files in this list, you could then use

the sort of drop-down list over here to see multiple versions

and I could then restore or view that older version for example,

Obviously, in this case I've only got the one.

In terms of the view itself, you can see that we're currently in this

what's called the sort of new mode.

There's also the option here to return to classic SharePoint.

When you turn that option on, you go back to the classic SharePoint mode

that you saw in the previous, the earlier slide.

You can revert back to it, back to the modern version,

the modern view again.

But it can take some 20 minutes, half an hour or a couple of logout logins

to actually get that refreshed.

I worked it for the moment, but that's just a way of viewing it

in the old sort of classic SharePoint view,

You'll see they'll actually launch the PowerPoint Online,

the online version of the application, you can see and then get that slide deck

which is the one that we're actually working on here at the moment,

I could then browse through that, make changes obviously and so on.

So at the moment, I'm working in the online version of the product.

If I wanted to switch to the full version again, I got the option

to do that via a button in here, just Edit in PowerPoint so I click on that,

then I can open in the full version rather than this online version.

So other things you can do here, as said in terms of managing the file,

so we've just seen there we can open it, we can download that from the local copy for example,

We can also do sharing.

So let's switch back to our slide for a moment.

So that's, remember we mentioned about the older-style view,

the classic view of SharePoint that's more like what that SharePoint view looks like.

You get different menu items and tabs across it rather than the sort of buttons

and drop downs that you see in the newer view.

So I can upload files using Upload document option.

Again, you see the old view in the top left corner there.

We saw the upload option that I used a moment ago in the new version

and as you can see, you can also drag and drop them in either view,

you can drag and drop across to those folders, document libraries

We can also share our files with an external user,

so it gives you the ability to - in a team sort of site document library,

for example, you could share documents or folders of people

who don't otherwise have access to the site or the files.

When you do share documents and folders, you can decide

whether people edit them or just view them as you'll see in a moment.

And there's essentially two ways of sharing.

You can either share via inviting specific people, which is the Invite people button

that you can see highlighted on the site at the moment

and with that, you then invite people by typing in the names,

email addresses for example in your contacts list in the directory

that you can find and then decide to share the document with them.

The other option is to choose the Get a link option just below that

to provide a link that can be then pasted into another form of media

like a chat box or an email or instant message, Skype message

something like that to someone.

That it's an easy way of sharing documents to everyone in your organisation

So that's essentially a link that has a sort of guest access token

on the online version or the full version here, we can see a Word document,

for example you can choose to edit it in the Word

which is the full version of Microsoft Word

or you can edit in the browser using Word Online.

And that's not just from a share.

If I just switch back to the environment for a moment,

I just get rid of Skype for business for a second so that also includes

as I say just opening a document here, not just from when someone shared it with me

but I can just stay as an Excel file for example,

But at some point, we're going to have to perhaps select those files out of sync,

if you have worked on the file locally and worked on it offline.

So we need to have some form of synchronisation.

So we have that sync option as we'll see in the menu item in a moment

that allows us to synchronise those files to our local folder on our computer,

and you can then work directly on it in File explorer

and access your files even when you're offline.

So this can be very useful obviously if you're going to be disconnected

from a network, you want to work in a hotel or work from home on them

and you're not connected to network, you can synchronise files,

work on them offline and then when you come back online again

you can re-sync and those changes you made while you worked at them at home

could be re-synced back to the files based in the cloud and vice versa.

So when you're online, any changes you make or others make

So we can see we've got a sync option up here,

in fact the items have changed slightly in their look and feel,
