00:00:16
These sessions are related to getting started off this application
00:00:20
and this particular one is entitled Introduction to SharePoint Online.
00:00:24
My name is Stephen Ryan and I'll be your trainer for this short session.
00:00:30
Just a few things, instruction-wise, housekeeping-wise before we get going.
00:00:35
Please don't try to take any other calls if possible.
00:00:37
Obviously, if you need to and it's urgent then, by all means, do so.
00:00:40
But if you can avoid it, then that would be useful.
00:00:43
Put your phone in mute then unmute if you want to ask a question any time
00:00:46
during the session.
00:00:48
And lastly, stay active on the PC just to stop against standby mode.
00:00:54
OK, so in this short session, we'll introduce some fundamentals
00:00:57
of the SharePoint Online environment in Office 365.
00:00:59
I'll start by looking at document libraries and how to drop files in the library
00:01:04
and upload files into folders in the library.
00:01:05
We will then discuss how to share files stored in SharePoint Online
00:01:09
and how to edit files using the online version of the Office suite of applications.
00:01:15
Lastly, we will look at how to synchronise online data with your local computer
00:01:18
so you can continue working even when you're offline.
00:01:22
It isn't really a training session as such, it's a way to get started Office 365
00:01:26
and our objectives are to discover and understand
00:01:28
how to navigate around SharePoint Online
00:01:31
and try and use some of its key features and tools here nice and quickly.
00:01:38
So first of all, we'll look at Document libraries.
00:01:41
So Document libraries in SharePoint Online are sites generally in SharePoint Online
00:01:46
allow you to work in collaborative teams by storing
00:01:49
and sharing files and co-editing documents simultaneously.
00:01:52
They contain document libraries and lists
00:01:55
and enable users to work collaboratively online.
00:01:58
So those document libraries provide a secure place for storing your files
00:02:01
where you and your co-workers can easily find them,
00:02:03
work on them together, access them from any device anytime.
00:02:07
So for example, you could use Document library on a site in SharePoint Online
00:02:09
to store real files related to a specific project or specific client, for example.
00:02:15
The default site you get in SharePoint Online includes document library already
00:02:19
and one is created automatically for you when you create a new site.
00:02:22
You can add additional document libraries to a site as
00:02:24
and when you need them and this is useful for example
00:02:27
if you want to restrict access to a set of files.
00:02:30
Each document library displays a list of those files and folders
00:02:33
and key information about each item such as who created it,
00:02:36
when it was last modified and that sort of thing.
00:02:38
And you can use that information to organise your files
00:02:40
and make it easier to find them.
00:02:42
There are several things you can do in a Document library.
00:02:44
You can add, edit, delete and download documents.
00:02:48
You can also collaborate and co-author on documents.
00:02:51
You can control who's got access to a library or folder in a library
00:02:54
or individual files that are in a library.
00:02:56
You can track the activity on a file such as when it was last modified
00:03:00
and also receive notifications when something gets changed.
00:03:03
You can create custom views for document library as well to add in
00:03:06
further columns or different views to the library.
00:03:09
You can share files or folders and others as you'll see in a moment.
00:03:12
You can add links to a document library to something stored outside,
00:03:16
so you can add links to the navigation menus.
00:03:19
Those could be to files located in a different library or possibly
00:03:22
a link to an external web page for example as well.
00:03:27
You can also highlight links and files and folders in the document library
00:03:29
so others can get to them more quickly
00:03:31
by making them a highlighted item in the list.
00:03:36
So you can see on this screen a document library with a few files inside it.
00:03:39
You can see a menu up here that says New, Upload, Quick edit and Sync.
00:03:42
We'll go through some of these things in a moment.
00:03:46
So SharePoint does offer you the ability to store your documents
00:03:49
for your teams with custom views.
00:03:53
What we're looking on the first screenshot is the kind of old view
00:04:02
and the second which is the sort of a modern document library view
00:04:05
in the second screenshot you can see that's just popped up
00:04:07
is called a Classic SharePoint view and I'll show you what the difference is
00:04:10
between those as we get through as well.
00:04:13
Essentially, you can see the tools available on this library tab over here
00:04:16
that lets you do things like Modify your current view.
00:04:19
And we'll see a little bit of that in the demo in a moment.
00:04:23
So the kind of things you can do to Document library when you right click on it are:
00:04:26
you can open it, you can share with someone,
00:04:30
you can collaborate on the document real time, you can look at permissions on the document,
00:04:34
download it and also you can just look at the version history of documents over time,
00:04:39
see how many versions of it has been,
00:04:41
what modifications are made and then potentially open an older item,
00:04:46
or restore it or delete it if you need to.
00:04:49
So we're going to the live environment now
00:04:50
and have a quick look at some of those items.
00:04:58
I'll just minimise this for a moment and you can see here we are in Office 365.
00:05:06
I'll just maximise that.
00:05:07
I am on the landing page.
00:05:08
So if you want to open up our SharePoint sites,
00:05:10
you can click on the app launcher up in the top left-hand corner here
00:05:13
or you can click on the SharePoint tile on the homepage.
00:05:17
We'll do it from here.
00:05:18
We will right click on it, make sure opens in a new tab.
00:05:27
So you can see some recent activity going to the SharePoint training site.
00:05:39
So I can click on that link for example or I can click on the link over here
00:05:42
in the navigation menu, or I can click up here in the frequent section as well
00:05:46
to open up that site.
00:05:51
So here you can see we are in SharePoint training.
00:05:53
You can see some recent activity as well and here a document library
00:05:56
called MOOC Training, for example.
00:05:59
We can also create our own document library here.
00:06:02
So from Site contents for example, if you can go to Site contents here
00:06:10
and then choose New up at the top
00:06:13
and then on the drop-down list, choose Document Library
00:06:15
so I'll just create one here called Steve's Files or something.
00:06:25
If you want to show in the site navigation either do them to appear
00:06:28
in the menus in the left, yes, we do so I'll just choose Create.
00:06:31
Now I'll create, start our document library and we can then go into the document library
00:06:35
and actually add some files, to not let some files to it and so on.
00:06:43
So here's the empty document library, you can see there called Steve's Files.
00:06:51
I'm going to upload some files to it, so you can see up at the menu here
00:06:54
we have an upload option.
00:06:56
It says here also we can drag files here to upload,
00:06:58
so I will just show you sort of both approaches, so you click on Upload,
00:07:01
we can choose files or folders, some browsers allow you to do folders
00:07:09
So here we can choose.
00:07:10
Let's choose an Excel file, for example.
00:07:18
The document's getting uploaded now to the library
00:07:20
and then we can see there it's appeared.
00:07:24
So let's upload another one.
00:07:37
Let me do that way.
00:07:39
So if I just minimise this page a moment and drag that over across.
00:07:51
OK, I will now just show how we could do the drag and drop,
00:07:53
just making that a bit smaller.
00:08:05
We could also drag, let's say an item over here,
00:08:07
so if I drag that from that file over here.
00:08:18
Let's drag this across
00:08:27
and then when I release the button, you'll see it's uploading other items,
00:08:30
so we can also drag those so you can either choose Upload and browse
00:08:33
or you can use drag and drop techniques too.
00:08:36
Drop it there too.
00:08:54
Now we've got three files in that SharePoint training Steve's Files document library.
00:09:15
Just having some issues with the shared screen option up there.
00:09:21
So question, you've used Library and uploaded some files to it,
00:09:24
we can then change the views so at the moment,
00:09:25
we're looking in this list view.
00:09:27
So if we go over here on this drop-down listing
00:09:29
and see we can go to the top tiles view as well.
00:09:31
And now see the items as tiles rather than as a list.
00:09:35
I'll switch back to list view again.
00:09:40
We can also then modify that view somewhat, so if I click on the Plus sign here,
00:09:44
I can add some further columns to our view.
00:09:47
So you can create new ones using this option here where I can just show
00:09:50
and hide existing columns by selecting them from this list here,
00:09:53
so if I wanted a file size option to be added or created by for example,
00:09:58
I can do that and then click Apply and it adds those extra columns to my list
00:10:03
so I can modify the view that way.
00:10:10
In terms of documents and files, kind of things we can do to them.
00:10:14
So I select a file from here in the list,
00:10:19
you'll see the menu changes across the top here.
00:10:21
So when it's selected, you get, unselected,
00:10:23
you get that menu when you select an individual file
00:10:25
or more you get that sort of menu up here.
00:10:26
That's exactly the same menu you see if you click on the ellipsis button,
00:10:30
the three dots to the right of the file name.
00:10:31
If I click on that, I'll get the same colour menu options
00:10:34
as I do across the top.
00:10:35
And similarly, if I right click on the document as well over here,
00:10:38
I get the same menu as well.
00:10:40
So you can see some of the things you can do here, so I can Open the file.
00:10:43
So I could open that file in PowerPoint or if I've got the full version
00:10:46
So I'm going to open in PowerPoint Online and the online version of PowerPoint
00:10:49
or I could open in the full version if I have the full app installed locally,
00:10:53
so the desktop version.
00:10:54
The other thing I can do to this file here is, so you can see I can Share it,
00:10:58
Download it, Delete it, Pin it to the top of the list,
00:11:01
Move it somewhere else, Copy it somewhere else, Rename it.
00:11:04
We can also look at things like Version history as well,
00:11:06
so I click on Version history, that will show me
00:11:08
if there's been multiple versions of that file and any edits and changes to it along the way
00:11:12
and if any comments have been added, I'd see it in that column over there.
00:11:15
And when you've got multiple files in this list, you could then use
00:11:18
the sort of drop-down list over here to see multiple versions
00:11:22
and I could then restore or view that older version for example,
00:11:24
if I had more than one in this list.
00:11:26
Obviously, in this case I've only got the one.
00:11:30
So we can do that.
00:11:33
In terms of the view itself, you can see that we're currently in this
00:11:35
what's called the sort of new mode.
00:11:38
There's also the option here to return to classic SharePoint.
00:11:41
When you turn that option on, you go back to the classic SharePoint mode
00:11:44
that you saw in the previous, the earlier slide.
00:11:47
You can revert back to it, back to the modern version,
00:11:49
the modern view again.
00:11:50
But it can take some 20 minutes, half an hour or a couple of logout logins
00:11:54
to actually get that refreshed.
00:11:55
I worked it for the moment, but that's just a way of viewing it
00:11:57
in the old sort of classic SharePoint view,
00:12:00
which gives you slightly different menus across the top and so on.
00:12:16
let's go work on a file.
00:12:20
So we've got some files uploaded to say, we could then open them.
00:12:26
So if I click on that one over here, for example and choose Open in PowerPoint Online.
00:12:34
You'll see they'll actually launch the PowerPoint Online,
00:12:37
the online version of the application, you can see and then get that slide deck
00:12:41
which is the one that we're actually working on here at the moment,
00:12:44
I could then browse through that, make changes obviously and so on.
00:12:46
So at the moment, I'm working in the online version of the product.
00:12:51
If I wanted to switch to the full version again, I got the option
00:12:54
to do that via a button in here, just Edit in PowerPoint so I click on that,
00:12:58
then I can open in the full version rather than this online version.
00:13:05
Let's close it, I don’t want to make any changes for the moment to that.
00:13:12
So other things you can do here, as said in terms of managing the file,
00:13:17
so we've just seen there we can open it, we can download that from the local copy for example,
00:13:23
if you want to do some management stuff we can delete,
00:13:25
move, rename and so on.
00:13:28
We can also do sharing.
00:13:29
So let's switch back to our slide for a moment.
00:13:38
So that's, remember we mentioned about the older-style view,
00:13:42
the classic view of SharePoint that's more like what that SharePoint view looks like.
00:13:49
You get different menu items and tabs across it rather than the sort of buttons
00:13:54
and drop downs that you see in the newer view.
00:14:00
So I can upload files using Upload document option.
00:14:02
Again, you see the old view in the top left corner there.
00:14:06
We saw the upload option that I used a moment ago in the new version
00:14:09
and as you can see, you can also drag and drop them in either view,
00:14:13
you can drag and drop across to those folders, document libraries
00:14:16
to upload files that way.
00:14:18
We can also share our files with an external user,
00:14:21
so it gives you the ability to - in a team sort of site document library,
00:14:28
for example, you could share documents or folders of people
00:14:30
who don't otherwise have access to the site or the files.
00:14:33
When you do share documents and folders, you can decide
00:14:36
whether people edit them or just view them as you'll see in a moment.
00:14:39
And there's essentially two ways of sharing.
00:14:41
You can either share via inviting specific people, which is the Invite people button
00:14:47
that you can see highlighted on the site at the moment
00:14:49
and with that, you then invite people by typing in the names,
00:14:53
email addresses for example in your contacts list in the directory
00:14:56
that you can find and then decide to share the document with them.
00:14:59
I'll show you this slide in a moment.
00:15:01
The other option is to choose the Get a link option just below that
00:15:04
to provide a link that can be then pasted into another form of media
00:15:11
like a chat box or an email or instant message, Skype message
00:15:17
something like that to someone.
00:15:19
It's just a link you can paste into another place, another location.
00:15:24
That it's an easy way of sharing documents to everyone in your organisation
00:15:26
or with people that you need to share with externally
00:15:29
who wouldn't be if you weren't able to invite by name for example
00:15:32
and I will show you how to do that in a second.
00:15:37
Just click back out there and then go back to View.
00:15:44
OK, so we are in the library,
00:15:47
the Steve's Files library.
00:15:48
We want to share a document with someone.
00:15:53
So I can again select the buttons here and to share, I can choose Share
00:15:58
from the menu up here that gets just the same place.
00:16:01
So you see the screen here and then we can see the two options;
00:16:04
to Invite people and Get a link.
00:16:05
To invite people here, I need to provide the names of persons
00:16:09
so I could start to type in the name of the contact that I have.
00:16:15
So Pierre Skoll the guy, just him or let's try someone else,
00:16:18
I've got a couple of dummy accounts I can use.
00:16:20
John Doe, sort of dummy login account, so there's my user
00:16:25
and I can then allow them to either edit or view that so if I choose Edit,
00:16:29
I can also provide an extra bit of text to the invitation that says,
00:16:33
"here you are, John, here's that file you wanted".
00:16:38
It doesn't really matter what you're typing in there
00:16:40
but just an optional message essentially you can type to your colleague,
00:16:50
it's a bit lazy of me so I'll put in a bit of grammar to it.
00:16:53
So "Here's that file you wanted"
00:16:54
and then the option here of Send an email invitation or not.
00:16:56
So if I deselect that option, they won't get the invitation pop in mail,
00:17:00
I'll choose the sending the invitation
00:17:03
and they will see that so I can choose that option to Share.
00:17:06
It will come up in a moment saying Updating item
00:17:08
and then it will say One item shared.
00:17:12
You should also see a pop up appearing in my notifications telling me
00:17:15
that has been shared with another person and I'll get an email message.
00:17:20
I've just had a ding come through just now that's told me
00:17:22
that it should be in my mailbox, I'm going to check that in a moment.
00:17:25
We'll see the other options for sharing in there,
00:17:27
let's go by this menu this time.
00:17:29
So I've already shared that document as you remember
00:17:31
with the Edit options for John Doe.
00:17:34
I can also choose this one here but the thing with Invite people
00:17:37
is you're inviting specific people by name that are in your list,
00:17:40
in your directory listing and I provide their name
00:17:44
and it's recognised in the directory.
00:17:46
We get a link, you're just creating a link which can either be kind of like
00:17:49
an anonymous restricted type link or it can be a corporate links account
00:17:56
required for this particular domain, for example
00:17:58
and again that can either be a view or an edit link so you click on that,
00:18:01
choose Create or Create a link and you can then paste that in,
00:18:05
so let's say that somebody wants a View links, for example,
00:18:08
which creates and it will create that link here and I can then just copy
00:18:11
and paste that into let's say, I've got my Skype for business.
00:18:15
So if I was having a chat with John Doe in Skype for Business,
00:18:22
for example, I could then just paste that into there
00:18:23
and say "here's that link for that document" and just send that link to him.
00:18:27
He'd get it that way or I could paste into the email just the same sort of thing.
00:18:30
So that's essentially a link that has a sort of guest access token
00:18:33
as part of the links so it gives them the link to the document
00:18:36
and also the guest access privileges depending on
00:18:38
whether I chose the Choose a view or Edit link.
00:18:41
I'm not going to bother sending that now but that was a view link.
00:18:44
We could also choose…
00:18:47
I just remove that link and create a new one.
00:18:50
We could also create an edit link
00:18:56
and again it's just another type of link, right click, copy.
00:19:01
Again I could paste that into a chat box or onto an email
00:19:05
and again it looks pretty similar, just aside from token
00:19:07
with different privileges assigned to that token.
00:19:10
So when that user clicks on that link
00:19:12
then they'll get privileges assigned from that token,
00:19:14
in this case it appeared in the link.
00:19:17
We also see here, we've got the option for Shared with,
00:19:20
so Shared with shows you a list of who you're currently shared with.
00:19:24
You can do Stop sharing from here so you can stop showing a document
00:19:27
with everyone you shared it with.
00:19:29
You can click on Advance,
00:19:30
it then takes us to the more granular level of it…
00:19:32
of permission assignment on a page so now it's opening up
00:19:35
a separate tab without permissions on here.
00:19:37
We'll see a list of admissions that has been assigned
00:19:39
to that particular file then who's got access and there's our John Doe account
00:19:44
that we just added as a user type and the commission level
00:19:47
that's provided when you choose the edit option there,
00:19:50
it actually contributes so that's the actual commission level
00:19:53
that's assigned to that user.
00:19:55
If I just go back to here and choose Stop sharing, to stop sharing,
00:20:00
it says Disables any guest links or remove all users
00:20:02
from the file-sharing options which is closed.
00:20:04
So the only thing I see now is myself.
00:20:05
This is my login account here, as the owner,
00:20:08
it's the only person now left in the list so click on Close.
00:20:12
Just go back to Share again,
00:20:15
Shared with so you can see there again there's no one on the list.
00:20:17
Click on Advance to get that permission list again.
00:20:21
I now see that the only person in there is the SharePoint training owners
00:20:23
who have full control for that particular item
00:20:25
because it's moved all the other shared permissions.
00:20:28
OK so two ways of showing, essentially sharing it
00:20:32
by specifically specifying a person or a group by name
00:20:36
or by providing a link and then copying that,
00:20:40
pasting that link into some other form of media like an email
00:20:42
or a chat window or something to someone.
00:20:55
OK so viewing and editing a file with the benefit of Office online
00:20:57
so what we're talking about here is the fact that,
00:20:59
as you saw already, you can open a file, we've got the options of editing
00:21:04
on the online version or the full version here, we can see a Word document,
00:21:08
for example you can choose to edit it in the Word
00:21:11
which is the full version of Microsoft Word
00:21:12
or you can edit in the browser using Word Online.
00:21:15
And that's not just from a share.
00:21:19
If I just switch back to the environment for a moment,
00:21:25
I just get rid of Skype for business for a second so that also includes
00:21:29
as I say just opening a document here, not just from when someone shared it with me
00:21:32
but I can just stay as an Excel file for example,
00:21:34
I can choose to open an Excel Online or I can open Excel
00:21:39
and again just like we saw the PowerPoint one that can open up the online version of Excel
00:21:42
and I can then start to modify and work with that document.
00:21:47
The use of the option, Edit in Excel to open up
00:21:50
in the full version of an open Excel 2016 or whatever version of Office
00:21:53
it is you have and then open it in a full version of the online version.
00:21:57
When you're working with…
00:21:58
I just cancel that, I don't need to do that for now.
00:22:02
When you're working with online applications such as these
00:22:06
then your changes are made immediately.
00:22:09
So if I choose access, deselect that and choose New,
00:22:15
and so I can create a new Word document here for example,
00:22:17
I'll just create a dummy document with not much text in it.
00:22:21
So notice here, I'm creating a new Word document that opens up
00:22:24
Word Online automatically.
00:22:25
There is this document saved that hasn't really got a name yet,
00:22:29
I'll just put in a load of blump, and if you notice as I start typing in the letters
00:22:34
it says Saving across the black screen up here,
00:22:36
and then a few seconds later it'll say Saved,
00:22:38
so it's automatically saving your text as you type
00:22:41
because you are working the online version of the application.
00:22:44
Give it a few seconds it will come back and say Saved in a moment,
00:22:47
there you go, and that's the difference in working in the online version of the apps
00:22:50
and working in Word, so you'll see that on the file menu
00:22:54
in Word Online for example there's no save option,
00:22:56
there's a Save as so I can save it as something else
00:22:58
but there's no save option because I don't need to because it is saved automatically.
00:23:02
If I open the file in Word and work with it in the full version of Word 2016.
00:23:15
I'm just opening up another page in another screen,
00:24:38
it's lagging unfortunately today,
00:24:40
if it doesn't open up I'll just deal with a different file.
00:26:02
Someone else is working on that document,
00:26:03
I'll do a different document.
00:26:26
Back into Steve's files again.
00:26:42
I'll do it in the excel file this time.
00:26:48
Access to that document Excel online that we saw earlier.
00:26:52
Let's wait for that to load completely.
00:26:55
Then you see the menu at the top.
00:26:59
So I choose Edit in Excel and open Excel 2016.
00:27:25
So now we've got to put it in the Excel 2016 version
00:27:27
and we can then work on that with all the full capabilities up here,
00:27:31
I have to choose Edit mode again, just put it into edit mode,
00:27:34
but that just shows you how you can work in the two different versions,
00:27:36
so obviously in this version you've got a save menu and a save as
00:27:40
and so on for the menu item because that can be worked on
00:27:42
and saved obviously locally, and because you're working not in the online version
00:27:47
if you need to make changes, you need to save them manually yourself.
00:27:51
That's obviously the big difference between doing that and working
00:27:54
in the online version where those changes are updated automatically for you,
00:27:57
on the fly, as you're working.
00:28:00
OK, I'll just close that down.
00:28:02
Don't need that open anymore.
00:28:08
Just to confirm, when you're editing online in Office 365,
00:28:13
your files are saved automatically and if you edit a file while you're working offline with it
00:28:18
you'll need to upload it back into the library.
00:28:20
If open a document with more than one app choice,
00:28:23
so for example if you've got the same app on your computer, your local version,
00:28:28
you will need to choose between the two as you saw there with the option
00:28:31
of opening the online version or the full version of Excel, for example.
00:28:35
Obviously, if you don't have that application,
00:28:37
you won't be able to open in full version.
00:28:43
So we could be working as we said on different files,
00:28:46
let's just switch back to the slides for a moment, working in the browser-based version,
00:28:49
working the full version.
00:28:50
But at some point, we're going to have to perhaps select those files out of sync,
00:28:56
if you have worked on the file locally and worked on it offline.
00:29:00
So we need to have some form of synchronisation.
00:29:02
So we have that sync option as we'll see in the menu item in a moment
00:29:05
that allows us to synchronise those files to our local folder on our computer,
00:29:09
and you can then work directly on it in File explorer
00:29:12
and access your files even when you're offline.
00:29:15
So this can be very useful obviously if you're going to be disconnected
00:29:17
from a network, you want to work in a hotel or work from home on them
00:29:20
and you're not connected to network, you can synchronise files,
00:29:24
work on them offline and then when you come back online again
00:29:26
you can re-sync and those changes you made while you worked at them at home
00:29:29
could be re-synced back to the files based in the cloud and vice versa.
00:29:34
So when you're online, any changes you make or others make
00:29:37
in the document library will sync between your document library
00:29:40
in your computer locally.
00:29:41
So we can see we've got a sync option up here,
00:29:43
in fact the items have changed slightly in their look and feel,
00:29:47
they don't quite look like this now but the same options are available
00:29:50
and the same menu items, they just look slightly different, they have just changed slightly,
00:29:55
as I'll show you in a moment, but you can see you get the sync button up here,
00:29:58
when you click on Sync you'll get a pop-up dialog box,
00:30:02
that looks a little bit like this that says Sync this library to your device,
00:30:05
and then a Sync now button, you'll also see a link
00:30:07
to get the latest version of them both, one Drive business app
00:30:10
in case you've got an older version or not, you haven't got any version installed at all,
00:30:14
for example, you'll see that link on that pop up
00:30:16
that comes up on your page.
00:30:20
When you're working on those documents, you'll see you've got your local version here,
00:30:24
so this is an example of a file in our local document storage location,
00:30:29
and we can see the files in the SharePoint library online
00:30:34
and we'll see that perhaps the files are currently synchronised
00:30:37
or not synchronise, you'll see slightly different icons as you'll see,
00:30:39
I'll show you the live environment in a moment to show you the difference.
00:30:42
When you see a little green tick, or a little white tick on a green circle
00:30:46
I should say, that's showing you that it's currently synchronised.
00:30:49
If you see these little blue arrows, it's showing it's in the process
00:30:52
of being synchronised, and if you see the sort of red type X
00:30:55
then it hasn't yet been synchronised for some reason,
00:30:57
so it gives you a visual representation of the current synchronisation status,
00:31:02
you know whether they've been updated or not yet.
00:31:05
Let's have a look at that in the live environment.
00:31:09
I'll just switch back out here.
00:31:14
So you see the sync option up here, so if I deselect the files
00:31:17
you'll see with that sync option up here, slightly different as I said
00:31:19
than the view on slide that's changed slightly, click on that to sync this library
00:31:23
to your computer, then say Sync this library to your device for easy access,
00:31:28
there's the link to get the just OneDrive app,
00:31:30
and there's the Sync now button that let's you synchronise,
00:31:33
you should then see a button that pops up and says "we're working on it",
00:31:38
something that says Sync the library Steve's files from SharePoint training,
00:31:43
it shows you the url link to it, you'll find your documents in file explorer
00:31:46
and it shows you where it's going to be saved and you click on Sync now,
00:31:49
it will say "we're getting those things ready to be synced",
00:31:53
and then you can go and view those files in that synchronised folder,
00:31:56
so your files are syncing as we speak,
00:31:58
go and take a look and watch them come in, and you can click on Show my files
00:32:01
which then opens up that folder and shows you those files.
00:32:06
I'll just drag it across in a separate window, you go up here
00:32:10
and you'll see a pop up saying about you can always check on OneDrive Business
00:32:13
to see the sync on your files, and there we can see those documents
00:32:17
and what's been changed on them.
00:32:21
See that's a green tick down there showing you which files were synchronised
00:32:26
If I make a change to something and then re synchronise,
00:32:32
those changes will be updated on the document.
00:32:35
Let's go back to Steve's files.
00:32:49
You also get in the bottom right-hand side here
00:32:57
your syncing files option, I can see that OneDrive Business tool,
00:33:01
it says it is currently syncing files, One item remaining, you can then click on that
00:33:06
which will give you the option to open that folder again
00:33:09
if you hadn't already got it open.
00:33:09
You can also right click on that to see the menu item in there,
00:33:13
so things like you can Pause, Syncing, Sync now, Stop syncing a folder,
00:33:17
Repair if it's gone out of sync or something,
00:33:19
Sync a new library or just Open your folder.
00:33:26
We've already chosen Sync now, so it's in the process of syncing anyway
00:33:29
so you can see that going on at the moment.
00:33:32
So that's a way of synchronising your files, keeping up to date,
00:33:35
work on them offline, come back online again re-sync
00:33:38
and get those files back in sync again, and as I said
00:33:40
if you've got the green tick showing here, you know your files are in sync with each other
00:33:44
and that's all working successfully.
00:33:47
You'll find that if I just go back out a bit out of here,
00:33:51
if I've had any previous…
00:33:54
you see at the moment, that's Steve's files again,
00:33:56
it's got the little blue arrows on there, I think very small
00:33:59
but you just about see it that shows it's currently in syncing mode at the moment,
00:34:02
it is in the process of syncing, whereas these other folders up here
00:34:04
from other things I've synced before in different folders
00:34:07
have already been done and they're up to date, for example.
00:34:12
There's one there, there's another one in there,
00:34:16
and that's the ones for Steve's files that are syncing at the moment.
00:34:24
Those are the buttons in there, and then once you've got that syncing successfully
00:34:29
as we saw a moment ago you should see a sort of similar list of files
00:34:33
obviously in your local directories, you can see on here,
00:34:36
so we've got four files here that are synced,
00:34:38
and then we can see the list of files from the document library,
00:34:41
there's a screenshot or a snap of that screen over there on the right side
00:34:43
just to show you when they're fully synced, roughly what it would look like,
00:34:47
two sets of files looking the same.
00:34:54
So as I mentioned at the beginning of the session,
00:34:56
this isn't really a training session, it's just a way to get started with Office applications,
00:34:59
in this case the SharePoint Online part of the Office 365 suite.
00:35:03
So the feature we briefly looked at this session help you to share
00:35:08
and collaborate with your co-workers on documents online and offline.
00:35:11
Sharepoint Online provides a cloud base storage location for your organisation's files
00:35:15
so you can then easily be shared with your co-workers,
00:35:17
you can use SharePoint Online sites to create team sites,
00:35:20
upload and share documents to the colleagues, you can open documents
00:35:24
in the full Office version if you have it, or in the online version
00:35:26
if you don't have access to the full one.
00:35:28
So for example, if you are in the hotel or a remote location with a laptop
00:35:32
that doesn't have those locally installed, it doesn't matter,
00:35:34
as long as you've got access to the Internet, even if you don't have your laptop with you,
00:35:38
if the hotel or remote office has got a PC that you could use
00:35:41
and get connected to the Internet then you can log into Office 365,
00:35:44
open up documents from SharePoint
00:35:47
or from OneDrive if you are using OneDrive, and access your documents
00:35:51
and work with them using the online application suite, Excel,
00:35:55
Word, PowerPoint, OneNote, etc.
00:35:58
So you can open them in the full version or the online version
00:36:01
and edit and view them, you can also use real time co-authoring capabilities
00:36:05
as well if you want to collaborate with colleagues simultaneously
00:36:07
on online documents, and even when you're working with those people
00:36:11
in co-authoring mode, real time co-authoring,
00:36:14
you'll see a pop up flag that shows you who's working on the doc
00:36:18
at the same time as you and whereabouts in the doc they are working
00:36:20
so you don't have a conflict of interest in the same section of the document for example,
00:36:25
it warns you about that and lets you know where they're working
00:36:27
and what they're up to.
00:36:28
Then obviously the synchronisation feature we looked at last lets you work
00:36:32
with files even when you're working offline then re synchronise it back again
00:36:35
when you're back online again.
00:36:44
So this is where we normally have a quick Q&A session,
00:36:46
and then we'll finish off here,
00:36:47
that concludes the short session.
00:36:50
Thank you for your attention and I hope that it can make the best use
00:36:52
of these resources and the session going forward.
00:36:55
Thank you once again.
