Teams - Chat privately or in small groups Tutorial

Chat privately or in small groups in Microsoft Teams by starting a new chat from the left conversation area, typing participant names to create a one‑on‑one or group chat, and optionally naming the group for easy finding. Add participants, manage history sharing for new members, and use the top tabs to access the main thread, shared files, Viva Engage storyline, and app tabs. Use audio/video calls, notes, and a range of actions via the three-dot menu, including windowed chat, meetings, screen share, and mute or unread options.

00:00:04
you'll learn how to chat privately with a colleague,
00:00:07
create a group chat,
00:00:09
and use the most useful options around a team's chat.
00:00:12
It's one of the most flexible ways to communicate quickly on a daily basis.
00:00:17
In teams,
00:00:18
a private chat takes place outside of team channels.
00:00:22
It can be done in pairs or in small groups.
00:00:25
It's the right format when you want to ask a quick question,
00:00:29
share a document with a few people,
00:00:32
or move forward on a topic without soliciting an entire channel.
00:00:36
To start a new chat,
00:00:38
open the conversation area on the left,
00:00:41
then click the new message button at the top of the list,
00:00:44
and two fields appear.
00:00:47
Type the name of the person you want to chat with,
00:00:50
then select them from the results offered by teams.
00:00:53
You can also add multiple names from the start.
00:00:57
Teams then creates a group chat.
00:00:59
If necessary,
00:01:00
use a small arrow to the right of the field to bring up the group name box.
00:01:05
Giving the group a name is a great way to find a conversation related to a project,
00:01:11
folder,
00:01:11
or event more easily.
00:01:13
For a small collective
00:01:15
this format works very well.
00:01:17
Teams allows up to 250 participants in a group chat,
00:01:22
although in practice a channel is often more
00:01:25
suitable as soon as the exchange becomes sustainable
00:01:29
or must remain visible to an entire team.
00:01:32
If you're already talking to someone,
00:01:35
you don't have to start from scratch.
00:01:37
At the top right of the conversation,
00:01:40
the participants button opens the list of people present
00:01:44
in a one on one meeting
00:01:46
they can also offer the option to start a group conversation.
00:01:49
You then add one or more people and Teams creates a new group chat from that exchange.
00:01:55
In an existing group chat,
00:01:57
the same button allows you to add more participants
00:02:01
depending on the case.
00:02:03
Teams may also offer you to choose which part of the history
00:02:07
to share with new people added.
00:02:10
This is useful when the discussion
00:02:11
gradually broadens to include other colleagues.
00:02:15
Once the conversation is opened,
00:02:17
you will find several useful areas at the top.
00:02:20
The conversation tab is the main thread.
00:02:23
The shared tab groups the files and links exchanged in this chat,
00:02:28
so you don't have to scroll through the entire history to find a document.
00:02:33
Depending on your environment,
00:02:34
you may also see a storyline tab linked to Viva Engage
00:02:39
as well as a plus button to add a tab or app directly into the conversation
00:02:45
at the top right,
00:02:46
several actions allow you to go further.
00:02:49
The audio and video call buttons are used
00:02:51
to quickly switch between written and spoken language.
00:02:55
This is especially useful when the discussion becomes too long
00:02:59
or an item needs to be settled more quickly live.
00:03:02
If the notes icon is available,
00:03:04
it opens a collaborative panel on the right.
00:03:07
You can enter notes,
00:03:09
a bulleted list,
00:03:10
a checklist,
00:03:11
a board,
00:03:12
or tasks.
00:03:13
This is very useful for tracking decisions,
00:03:16
distributing actions,
00:03:18
or keeping a common track of a work exchange
00:03:21
without leaving the conversation.
00:03:24
The search in the chat information paint allow
00:03:27
depending on your view
00:03:29
to find participants pinned messages as well as files and links already shared.
00:03:36
The 3 dot menu includes other handy commands.
00:03:39
You can open the conversation in a new window to keep it visible while you work,
00:03:45
schedule a meeting if the topic merits more formal discussion time,
00:03:49
or start a screen share
00:03:51
to show a document,
00:03:53
application,
00:03:54
or problem to solve.
00:03:56
You can also mark the conversation as unread to come back to later.
00:04:01
Move it to a section,
00:04:03
mute its notifications if it becomes too active,
00:04:07
or copy its link to find it more easily.
00:04:10
Depending on the type of chat,
00:04:12
you'll also be able to delete the conversation history for yourself
00:04:16
or leave a group chat if you no longer need to participate
00:04:20
at the bottom,
00:04:21
the compose area works like in other teams exchanges.
00:04:25
You can type a simple message,
00:04:27
format your text,
00:04:29
attach a file,
00:04:30
added emojis,
00:04:31
or insert a collaborative component.
00:04:34
The idea is to choose the right tool for the context,
00:04:38
a short message to go fast,
00:04:41
a file to share a document or a collaborative component
00:04:45
to work with others directly in the chat
00:04:47
to find a conversation,
00:04:49
simply select it from the list on the left.
00:04:52
Quick filters like unread channels or conversation
00:04:56
can help you refocus the view on what you're looking for.
00:05:00
There you have it.
00:05:01
Now you know how to chat privately or in a small group in Microsoft Teams.
00:05:06
This mode of exchange is ideal for quick requests,
00:05:10
small group follow-ups in any situation where you need
00:05:13
a more direct conversation than a team channel.
