Teams - Set your status message in Teams Tutorial

Change your status in Microsoft Teams by clicking your profile picture to access current status, location, and a status message. Choose from Available, Busy, Do not disturb, Be right back, Appearing away, or Appearing offline, and set a duration for temporary statuses. Add a workplace location like office or remote, and optionally a status message with visibility options. For longer absences, use Out of Office with automatic replies synced to Outlook.

00:00:07
to make it clear to your colleagues if you're available,
00:00:10
busy,
00:00:11
remote,
00:00:12
or temporarily away.
00:00:14
It is a simple but very useful reflex to streamline communication on a daily basis
00:00:20
in Teams,
00:00:21
your presence is represented by a visible indicator on your profile picture.
00:00:27
Teams updates this status automatically in some cases.
00:00:31
Such as during a meeting,
00:00:33
a call,
00:00:34
or after a period of inactivity,
00:00:36
but you can also change it manually when
00:00:39
you wanna give your colleagues a clearer signal.
00:00:42
The idea is not just to show a color
00:00:45
but to help others understand if they can ask you right away
00:00:49
if it is better to wait
00:00:50
or if you should prefer a message rather than a call
00:00:54
to access these options,
00:00:56
click on your profile picture in the top right corner of the app
00:01:00
a menu opens with your account,
00:01:02
current status,
00:01:03
work location,
00:01:05
and access to status messages.
00:01:07
If you click on your current status you will see several choices.
00:01:11
Available means that you are reachable and able to respond normally.
00:01:16
It is the right choice when you work without any particular constraints
00:01:21
and your colleagues can contact you freely.
00:01:24
Busy is suitable when you are focused on a task
00:01:27
but still reachable if necessary.
00:01:30
In other words,
00:01:32
you signal that you are actively working
00:01:35
without completely blocking the requests.
00:01:38
Do not disturb is stricter.
00:01:41
This status is useful when you need calm
00:01:44
when you are in a presentation
00:01:46
in individual work,
00:01:48
or in a phase of strong concentration.
00:01:51
The aim is to make it clear that interruptions must be limited.
00:01:56
Be right back indicates a short absence.
00:01:59
This is a good choice if you leave your post for a few minutes and come back quickly.
00:02:04
Appearing away shows that you're not immediately available,
00:02:08
even if you're still logged in.
00:02:11
This is useful when you're working in the background on a different screen
00:02:15
or when you don't wanna respond in the moment.
00:02:18
Appearing offline is used to indicate that you don't want to appear as logged in.
00:02:24
This is a useful status when you want to remain discreet
00:02:28
while knowing that you can still receive messages.
00:02:31
You can also set a duration for your status.
00:02:34
This option is very useful if you want,
00:02:37
for example,
00:02:38
to stay in do not disturb mode for an hour of concentration,
00:02:42
then automatically return to a normal status afterwards.
00:02:46
In other words,
00:02:47
the duration prevents you from forgetting a temporary status
00:02:51
after the time is up,
00:02:52
teams reset your presence based on your actual activity.
00:02:57
Just under the status
00:02:59
you can also indicate your place of work,
00:03:02
for example,
00:03:03
office or remote.
00:03:05
This setting is not used to tell whether you are available or not.
00:03:09
Rather it serves to inform your colleagues of where you are working from today.
00:03:14
This is especially useful in a hybrid environment
00:03:17
to find out if it makes sense to come
00:03:20
and see you on site,
00:03:22
schedule a physical meeting,
00:03:24
or favor a remote exchange.
00:03:26
When you change this workplace in Teams,
00:03:29
the information can also be reflected in Outlook for the rest of the day.
00:03:34
Another very useful option is to set the status message.
00:03:38
The status message allows you to add context
00:03:41
that the simple presence indicator does not give.
00:03:45
For example,
00:03:46
in meetings until 2 o'clock.
00:03:48
On the road today
00:03:50
available only by message
00:03:52
or I deal with emergencies this afternoon.
00:03:55
The goal is not to tell the whole day
00:03:58
but to help others quickly understand how to contact you
00:04:02
or when to get back to you.
00:04:04
You can also choose to display this message when people message you.
00:04:09
This is useful if you want to warn your contacts immediately of a response delay,
00:04:14
a temporary absence,
00:04:16
or a special instruction.
00:04:18
Then choose how long you want this message to remain visible.
00:04:22
You can leave it in place or
00:04:24
schedule it to be automatically deleted after a certain amount of time.
00:04:28
Again,
00:04:29
this avoids displaying a message that has become obsolete.
00:04:33
Once your message is ready,
00:04:35
click done.
00:04:36
If you are away for a longer period of time.
00:04:39
Such as during holidays,
00:04:41
training,
00:04:41
or extended travel,
00:04:43
it is better to use the out of office option
00:04:46
rather than just a status message.
00:04:49
From the status message window
00:04:51
you can open the out of office screen
00:04:54
you activate automatic replies,
00:04:57
write an out of office message,
00:04:59
and set a specific time period.
00:05:02
This option is especially useful because it's not only useful in teams,
00:05:07
it can also sync with Outlook.
00:05:10
Your colleagues then see more clearly that you are not available
00:05:14
and your automatic responses remain consistent between tools.
00:05:19
In practice,
00:05:20
use a status message for short or one-off information
00:05:24
and away from the office for prolonged or planned downtime.
00:05:29
Now you know how to manage your status in Microsoft Teams
00:05:32
in a way that is more useful and more readable to others.
00:05:36
Used properly,
00:05:38
the status is not only used to indicate whether you are logged in,
00:05:42
it helps your colleagues choose the right time,
00:05:46
channel,
00:05:46
and level of urgency to contact you.
