Teams - Submit a New Approval Request Tutorial

Submit a new approval request in Microsoft Teams. Open the approval app from the sidebar, or install and pin it for quick access. Create a basic request, name it clearly, add one or more approvers, and set the required response order. Attach documents if needed, choose priority, and use the send feature to track status in real time. Use cancel or follow-up to manage pending approvals.

00:00:04
many actions require validation before being initiated
00:00:08
a purchase,
00:00:09
the publication of a document,
00:00:12
a request for leave
00:00:14
traditionally this validation takes the form
00:00:16
of email exchanges or informal messages,
00:00:19
which makes it difficult to follow up and leaves few traces.
00:00:23
The Microsoft Team's approval app does just that.
00:00:26
It allows you to formalize a request,
00:00:29
designate one or more approvers.
00:00:32
And monitor the status of the validation in real time.
00:00:36
Let's take a look at how to create a new approval request.
00:00:40
If the approval app isn't already present in your sidebar,
00:00:43
open the team's app library and search for it.
00:00:46
Click the app,
00:00:47
then click add if it's not already installed,
00:00:50
or click open if it's already installed.
00:00:53
If you plan to use it regularly,
00:00:55
remember to pin it to your sidebar by right clicking on its icon,
00:00:59
then pin.
00:01:00
So that you can access it at all times.
00:01:03
Once in the application,
00:01:05
the left part gives access to several spaces.
00:01:08
Approval brings together all the requests you've sent or received.
00:01:12
Below this are three e-signature integrations.
00:01:15
Adobe Sign,
00:01:17
which allows you to sign and send documents for e-signature
00:01:20
with a login
00:01:21
or free trial.
00:01:23
DocuSign positioned on the same principle of sending and signing documents
00:01:28
and Microsoft 365 e-signature,
00:01:32
Microsoft's native solution,
00:01:34
which displays the signature request you receive directly in Teams
00:01:39
without going through a third party service.
00:01:42
Finally,
00:01:42
the create or manage templates link at the bottom of the pane
00:01:46
gives access to ready to use templates.
00:01:49
Such as a leave,
00:01:50
business trip,
00:01:51
or work from home request,
00:01:54
which is useful for speeding up the creation of requests that come up regularly
00:01:59
to create a new request,
00:02:00
click new approval request in the top right.
00:02:04
Two approaches are offered basic request,
00:02:07
which we will use here,
00:02:09
or sending directly to AdobeSign or DocuSign
00:02:13
for an electronic signature.
00:02:16
Give your request a clear name
00:02:18
such as purchase requisition
00:02:20
and then fill in the email address of the approver in the approver's field.
00:02:26
If you designate multiple approvers,
00:02:28
you can enable the required responses in the assigned order option.
00:02:33
The responses will then have to follow exactly the
00:02:36
order in which you entered the email addresses.
00:02:39
You can then set the priority of the request,
00:02:42
medium or important,
00:02:43
and add additional details to specify the context.
00:02:47
If the approver needs to review a document before making a decision,
00:02:51
attach it directly via ad attachment.
00:02:54
You'll also notice the send to another environment option.
00:02:58
It allows a request to be addressed to a
00:03:00
different environment than the one used by default,
00:03:03
a useful feature if your organization
00:03:06
works with multiple Microsoft 365 environments.
00:03:10
Once all fields are completed,
00:03:12
click send.
00:03:13
Your request will then go through the creation process
00:03:17
and appear in the sent tab of the application.
00:03:20
Clicking on it will take you to the details of its status,
00:03:24
the current stage,
00:03:25
the approver concerned,
00:03:27
and the date the request was sent.
00:03:30
Two actions are then available to you.
00:03:32
Cancel the request if it is no longer necessary,
00:03:36
or follow up that sends a reminder notification to the approver
00:03:40
who has not yet responded.
00:03:43
A good way to follow up with him
00:03:45
without having to write to him directly.
