Teams - Protect a Shared Document with a Password Tutorial

Encrypt a PowerPoint file with a password to restrict access. Open the document in the desktop app, go to File, Info, Protect Presentation, and choose Encrypt with Password. Enter a password, confirm it, and note that lost passwords cannot be recovered. The protected file requires the password to view or edit for anyone accessing via Teams links or channels. To remove protection, return to the same settings and delete the password field, making it accessible again for those you’ve shared it with.

00:00:07
whether it is confidential information,
00:00:10
sensitive data for the company,
00:00:12
or a project involving external collaborators.
00:00:17
The Microsoft 365 suite
00:00:20
gives you the ability to secure your documents with a password.
00:00:24
In this example,
00:00:25
we'll rely on a PowerPoint presentation.
00:00:28
However,
00:00:29
the same applies to other Microsoft 365 applications
00:00:34
such as Word or Excel.
00:00:36
To get started,
00:00:38
open the document in the desktop app.
00:00:41
This feature is indeed exclusively available there.
00:00:45
You won't find it in the web version or by opening the document directly in Teams.
00:00:50
Then go to the file tab and select the info topic
00:00:54
in the protect presentation section,
00:00:56
you'll find the option to encrypt your document with password.
00:01:01
Click on it,
00:01:02
then enter the password of your choice.
00:01:04
In order to rule out any risk of typing error,
00:01:08
you will be asked to enter a second entry for confirmation.
00:01:13
Your document is now protected.
00:01:15
Anyone accessing it through a team's team link or channel
00:01:20
will need to enter this password to view or change it.
00:01:23
To remove this protection,
00:01:26
simply return to the location where you set it up.
00:01:30
Clicking on the tab again opens the window.
00:01:33
The password field will appear already filled in
00:01:37
with the one you had defined.
00:01:40
Delete it,
00:01:40
then confirm.
00:01:42
Your document then becomes accessible again
00:01:46
to all the people with whom you have shared
00:01:48
it without requiring them to use a password.
00:01:52
One last precaution is necessary
00:01:55
a forgotten or lost password cannot be recovered under any circumstances,
00:02:01
and the document then becomes permanently inaccessible.
00:02:06
So remember to keep your passwords in a safe place
00:02:10
by associating them with the name of the documents in question
00:02:14
and keep in mind that they are case sensitive.
