Teams - Add and co-edit files in a conversation Tutorial

Open the channel chat and attach a document by clicking the attachment icon to share a file directly in Teams. Choose a source (recent file, cloud storage, browse channels, or upload from your device) and send the post; the file appears as a card in the thread. Use the Shared tab to view channel documents, create new items like folders or Word, Excel, PowerPoint, OneNote, forms, or links, and start collaborative work without leaving Teams. Files can be opened, edited, and saved online, and important items can be added as tabs for quick access.

00:00:07
This allows team members to find documents in the same place as the exchanges
00:00:12
without having to send them separately by email.
00:00:15
When you're writing a post,
00:00:16
start by opening the message box.
00:00:19
You can add a subject line if needed
00:00:21
and then enter your message
00:00:24
to attach a document,
00:00:25
click the attachment icon below the compose box.
00:00:29
Teams then offers you several possibilities.
00:00:33
You can resume a recent file,
00:00:36
attach a file from your cloud spaces,
00:00:39
browse channels and teams.
00:00:42
Or upload a file directly from your device.
00:00:45
This step allows you to choose the source of the document
00:00:49
based on where it is stored.
00:00:51
After the file is added and the post is sent,
00:00:55
the document appears in the conversation thread as a card.
00:00:59
Channel members can then open it from the message,
00:01:02
view its contents,
00:01:03
and easily access it afterward.
00:01:06
To find the shared files in the channel,
00:01:08
open the shared tab at the top of the screen.
00:01:12
This space contains the documents associated with the channel.
00:01:16
You can view all documents or limit the display to files and messages
00:01:21
from this tab
00:01:22
you can also create new items directly in the team space,
00:01:26
for example,
00:01:27
the folder,
00:01:28
a Word document,
00:01:30
an Excel workbook,
00:01:31
a PowerPoint presentation.
00:01:33
A one note notebook,
00:01:35
a form or a link.
00:01:37
This allows you to start collaborative work without leaving teams.
00:01:41
The upload button allows you to add files,
00:01:45
a full folder,
00:01:46
or a template from your computer.
00:01:49
This option is useful when the document already exists locally
00:01:53
and you want to make it available to the entire team.
00:01:57
When a compatible file is shared in Teams,
00:01:59
you can open it directly from the interface,
00:02:02
select the file,
00:02:03
and then click open to choose the available open mode.
00:02:07
In Teams,
00:02:08
in the browser or in the Microsoft desktop app,
00:02:12
365 installed on your computer.
00:02:16
For some files like Word,
00:02:18
Excel,
00:02:19
or PowerPoint,
00:02:20
you can also change the default opening app
00:02:23
to choose whether they open automatically in Teams,
00:02:27
desktop,
00:02:27
or browser.
00:02:29
If multiple people are working on the document at the same time,
00:02:33
changes are automatically saved online.
00:02:36
This means that other channel members can continue to work on the file
00:02:41
even if you close the document.
00:02:43
If a document is particularly important,
00:02:46
you can select it from the share tab and then choose
00:02:50
make this a tab.
00:02:52
The file is then added to the top of the channel
00:02:55
next to the other tabs.
00:02:57
This allows you to access it faster without having to
00:03:00
search for it in the document list or messages.
00:03:03
Once the file is opened as a tab,
00:03:05
it remains viewable and editable directly in Teams.
00:03:09
You can also use the file menu to create a copy online
00:03:13
or download a copy to your computer,
00:03:16
depending on your needs.
00:03:18
In short,
00:03:19
Teams is not only used to exchange messages,
00:03:22
it also allows you to centralize documents,
00:03:25
share them,
00:03:26
organize them,
00:03:27
and collaborate on them in real time with your team members.
