Outlook Online - Enhance an edition and create a template in a newsletter Tutorial

Create and customize a newsletter edition in Outlook by starting from a template or a blank edition, then add and modify components such as text, image, and bulleted lists across sections. Remove or restore sections, rearrange them, and insert a clickable table of contents. Use the ribbon to insert 3 thumbnail image components, associate user profiles, and format content. Save the edited design as a reusable template, define recipients, then proceed to send or save the draft for future editions.

00:00:08
Outlook provides several layout and content options.
00:00:12
Let's see how to use them effectively
00:00:15
to save time and maintain a consistent design from one edition to another.
00:00:20
You can start from an existing template.
00:00:22
Once the name has been defined,
00:00:25
you can choose to create your edition draft or define your own template.
00:00:29
This template can also be created later,
00:00:32
as we'll see in this tutorial.
00:00:35
Once the selected template has loaded,
00:00:38
in this case I've chosen the basic template.
00:00:41
I can remove any components or sections that I don't need.
00:00:45
Deleting a section also removes all the components it contains.
00:00:50
Deleted sections can be restored using the small link displayed above.
00:00:55
Here I'm keeping only the top part of the edition and customizing both the text
00:01:01
and its formatting
00:01:02
using the toolbar that appears automatically when I select the content.
00:01:07
Next,
00:01:08
to make the edition more engaging and dynamic,
00:01:11
I'll use components which are available from the ribbon.
00:01:15
Components are pre-built layout elements that help
00:01:18
structure the content of an edition.
00:01:20
Currently the available components are relatively basic
00:01:24
and offer limited customization.
00:01:26
You cannot create your own components or add additional types.
00:01:31
I'll select the text and image component
00:01:34
with an alternating image and text layout
00:01:37
in the component.
00:01:38
I'll paste a link to our new employee announcement.
00:01:41
I'll enter the title and add an image
00:01:43
either by searching the available image library using a keyword
00:01:47
or by uploading my own photo of Sophie Martin from my PC.
00:01:52
I can then adjust the thumbnail size,
00:01:55
select the part of the image I want to display,
00:01:57
and if necessary,
00:01:59
zoom in on the image.
00:02:01
I'll then confirm my changes
00:02:03
below it.
00:02:04
I'll insert a second similar component,
00:02:07
but with the image on the right this time for our new customer
00:02:11
Greenway Solutions.
00:02:13
I can also add some text and organize it as a bulleted list,
00:02:17
for example,
00:02:18
to highlight key information about the new customer.
00:02:22
In this newsletter I'd like to cover another topic in a dedicated section.
00:02:27
That's where sections come in.
00:02:29
They allow you to organize an edition by topic and add components to each section.
00:02:35
For example,
00:02:36
I'll insert an image component with 3 thumbnails for a product launch.
00:02:41
This is purely decorative.
00:02:43
There's no clickable link or hover effect.
00:02:46
This component could be used to reinforce
00:02:49
the visual identity of the product launch.
00:02:52
Note that you can also paste an image that you copied previously.
00:02:56
I'll then add a people component
00:02:58
which allows me to associate a user profile and photo
00:03:02
from the relevant Microsoft 365 account.
00:03:06
It works somewhat like a signature
00:03:09
without any additional specific functionality.
00:03:13
I'll add one final section dedicated to three
00:03:16
frequently asked questions about our products and services.
00:03:20
I'll copy and paste some text and format it as needed
00:03:24
if necessary.
00:03:25
I can also insert an image from the ribbon.
00:03:28
The image will be inserted as it is,
00:03:31
just as it would be in a standard email.
00:03:34
Sections can be rearranged at any time.
00:03:37
Here,
00:03:37
for example,
00:03:38
I want to move my question section above the previous section.
00:03:42
I can use the arrows to move the section and all its content upward.
00:03:47
Another useful feature of sections is the ability to add a
00:03:50
clickable table of contents at the top of an edition,
00:03:54
allowing readers to jump directly to a specific section.
00:03:59
Using the section link icon
00:04:01
which opens a window where I can define the
00:04:04
text displayed for the link to the section,
00:04:06
I'll add 3 entries pointing to 3 different sections.
00:04:11
Once my edition is complete,
00:04:13
I can move on to the next step.
00:04:15
In my case,
00:04:16
given the time I've invested in creating the structure,
00:04:19
I'd like to save it as a template so I can reuse it when creating a future edition.
00:04:25
I can use the dedicated option in the ribbon to save it as a template.
00:04:29
I'll then give my template a name.
00:04:32
The template will be associated with my newsletter and
00:04:35
available for reuse when I create another edition.
00:04:39
Note that because I chose to save it as a template,
00:04:42
I have not finalized this edition.
00:04:45
The edition remains a draft.
00:04:47
I'll open the draft.
00:04:49
I'll select next.
00:04:51
I'll define the recipients.
00:04:53
All that's left is to send the edition.
00:04:56
One useful point to note is that recipients can subscribe to the newsletter
00:05:01
so they can receive future editions.
00:05:04
If I also add a recipient individually who is already subscribed to the newsletter,
00:05:09
they will receive only one email
00:05:11
to create a new edition using my template,
00:05:14
I'll select create edition.
00:05:17
My template is available in the template list
00:05:20
ready to be used or modified.
00:05:22
Note that custom templates are associated with
00:05:25
the newsletter they were created for.
00:05:28
They are therefore available when creating an edition from that newsletter.
00:05:32
Microsoft also provides access to
00:05:35
templates from the broader newsletters experience
00:05:38
where you can work with templates associated with different newsletters.
00:05:42
When I select the template,
00:05:44
I can then choose the newsletter to which the new edition should be associated
00:05:48
if that option is available in the creation flow.
00:05:51
The new draft will then use the structure defined in the selected template.
00:05:56
Finally,
00:05:57
to complete the picture,
00:05:59
you can insert a table into the body of
00:06:01
your edition using the insert tab on the ribbon.
00:06:04
The options are basic,
00:06:06
but they are more than sufficient for
00:06:08
presenting structured information clearly and effectively.
