Teams - Manage files in a Teams team Tutorial

Open the share tab in a Teams channel to access the channel's files space, where documents related to the channel are stored. Create or upload content by choosing folder, file, or folder upload, or create new Microsoft 365 files like Word, Excel, PowerPoint, OneNote, Forms, or other documents. You can drag files in, or use links and templates. Files are accessible to channel members, support co-authoring, and stay in sync with SharePoint. Actions include opening, downloading, moving, renaming, viewing history, and more.

00:00:04
each channel has its own file space.
00:00:07
This makes it possible to find documents related to the channel
00:00:11
without having to search through the entire team.
00:00:14
In the channel you open the share tab.
00:00:16
This is where you can find the files already published in the
00:00:19
channel as well as the documents deposited directly in this space.
00:00:24
Members who have access to the channel can view these files and
00:00:29
depending on their permissions
00:00:30
edit them with others.
00:00:32
The create or upload button provides options for
00:00:35
adding new content to the shared tab.
00:00:38
Select folder to create a new folder for organizing documents.
00:00:42
Choose files upload or folder upload to upload
00:00:46
existing files or folders from your computer.
00:00:49
You can also create a new Microsoft 365 file
00:00:53
such as a Word document,
00:00:55
Excel workbook,
00:00:56
PowerPoint presentation,
00:00:58
one note notebook,
00:01:00
form survey,
00:01:01
visual drawing,
00:01:03
markdown document,
00:01:04
text document,
00:01:05
or clip champ video.
00:01:08
Additional options include creating a link to external content
00:01:12
or adding a template for frequently used files.
00:01:15
You can also drag a document directly into the files area
00:01:19
when you want to import it quickly.
00:01:22
Once a file is added to the channel,
00:01:25
it becomes available to people who have access to that channel.
00:01:29
The work can then be done in co-publishing.
00:01:32
Multiple collaborators can open the same file and edit it at the same time.
00:01:37
Teams also offers sharing actions.
00:01:40
The share button allows you to send a file to others,
00:01:44
and copy link allows you to retrieve a link
00:01:47
to the document to use in a conversation or message
00:01:51
because channel files are linked to SharePoint.
00:01:53
Changes made in Teams and SharePoint remain in sync.
00:01:57
The action menu can also be used to open the location in SharePoint,
00:02:01
synchronize the library,
00:02:03
or add a shortcut to OneDrive.
00:02:06
Adding a shortcut to OneDrive
00:02:09
makes it easier to find the channel's library and its files.
00:02:13
Sync is used to access files from the computer
00:02:16
when OneDrive is set up.
00:02:19
When you select a file,
00:02:20
new actions appear.
00:02:22
The file can be opened directly in Teams,
00:02:25
in the browser,
00:02:26
or in the corresponding desktop app.
00:02:29
For some files it is also possible to convert them to a tab
00:02:33
in order to keep them accessible at the top of the channel.
00:02:37
The other actions menu gives you access to the common options
00:02:41
download,
00:02:42
move,
00:02:43
copy,
00:02:44
rename,
00:02:45
view properties,
00:02:47
view version history,
00:02:48
or delete the file.
00:02:50
In short,
00:02:51
the share tab centralizes the documents in the channel.
00:02:55
You can create,
00:02:56
upload,
00:02:57
share,
00:02:58
sync,
00:02:59
and open files
00:03:00
while allowing channel members to collaborate on the same documents.
