Teams - Set up breakout rooms before a meeting Tutorial

Set up breakout rooms before a meeting. Start from an existing Teams meeting or create one with the required participants, then open its details and access breakout rooms. Create rooms directly or import from a CSV, specify the number of rooms, and assign participants automatically, manually, or allow self-selection. Each room has a menu to rename, adjust options, or delete. Configure presenters, set a time limit with a timer, enable automatic movement to rooms, and save to finalize the setup.

several separate spaces during a team's meeting.
00:00:10
The point of preparing them before the meeting
00:00:12
is to save time on the day of the exchange
00:00:15
and to avoid making the distribution in front of everyone.
00:00:19
To get started,
00:00:20
start from a team's meeting that has already been created
00:00:23
or create a meeting with the relevant participants.
00:00:26
Add the people who need to participate,
00:00:29
review the main information,
00:00:31
and then send the invitation.
00:00:33
Once the meeting is created,
00:00:35
open its details
00:00:36
in the top bar,
00:00:38
click the three dots,
00:00:39
then choose breakout rooms.
00:00:41
Teams opens the room preparation area.
00:00:44
If no rooms have been created yet,
00:00:47
you can either import a breakdown from a CSV file
00:00:51
or create the rooms directly in Teams.
00:00:54
CSV import is especially useful
00:00:57
when the list of people in their rooms are already prepared in a file.
00:01:01
In this example,
00:01:02
we create the rooms directly in teams.
00:01:04
Click create rooms.
00:01:06
Choose the number of rooms you need.
00:01:08
You can use the arrows or enter the number directly.
00:01:12
For example,
00:01:12
if you want 3 work groups,
00:01:15
specify 3 rooms,
00:01:17
then click add rooms.
00:01:19
Teams displays created rooms as cards
00:01:22
for the moment they exist.
00:01:24
But the participants are not necessarily distributed yet.
00:01:28
Each room has its own menu with the three dots.
00:01:31
This menu allows you to rename the room,
00:01:34
open its options,
00:01:35
or delete it.
00:01:36
To break down people,
00:01:38
click assign participants.
00:01:41
Teams offers several methods.
00:01:43
You can automatically assign participants if teams
00:01:46
can do the distribution for you.
00:01:49
You can manually assign people to rooms if you wanna compose the groups yourself.
00:01:54
You can also allow participants to choose their own
00:01:57
room if this freedom is appropriate for your meeting.
00:02:00
In this example,
00:02:01
choose automatic assignment and then click next.
00:02:05
Teams distributes participants into rooms.
00:02:09
You can then check the names displayed below each
00:02:11
room to quickly see who is in which group.
00:02:15
At the top right,
00:02:16
the room menu gives access to other actions.
00:02:19
You can add a room,
00:02:20
import a breakdown from a CSV file,
00:02:23
or delete all rooms if you need to start over.
00:02:27
Now open the room settings.
00:02:29
The first option allows you to designate presenters to manage the rooms
00:02:34
for this to be possible,
00:02:35
the people involved must have a suitable role in the meeting options.
00:02:39
You can also set a time limit
00:02:42
when enabled Teams displays a timer to participants
00:02:45
and helps close rooms at the right time.
00:02:48
The automatically move people to rooms option
00:02:51
allows participants to be sent to their room
00:02:54
without them having to confirm.
00:02:56
If it is disabled,
00:02:58
participants receive an invitation
00:03:00
and must join the room themselves.
00:03:02
You can also allow users to choose their own room
00:03:05
or allow them to return to the main meeting.
00:03:08
When the settings are correct,
00:03:10
click save.
00:03:11
The breakout rooms are now prepared for this meeting.
