Teams - Store files in conversations Tutorial

Store files in conversations explains how Microsoft Teams handles file storage in two scenarios: private chats and team channels. For private chats, attachments use your OneDrive and appear as cards in the conversation; the file remains stored in OneDrive, and you can access shared files via the OneDrive chat files folder. For team channels, files are stored in the team's SharePoint space, accessible under the shared tab and Open in SharePoint for web-based management. The transcript covers navigation steps and file locations.

including OneDrive and SharePoint.
00:00:11
To fully understand file storage,
00:00:13
it is important to distinguish between two situations
00:00:17
sharing in a private conversation
00:00:20
and sharing in a team channel.
00:00:22
In a private chat when you send a file to a colleague,
00:00:26
Teams uses your OneDrive
00:00:28
to attach a document,
00:00:30
click the attachment icon below the message box.
00:00:33
You can then choose a recent file,
00:00:36
attach a cloud file,
00:00:38
or upload a document from your device.
00:00:41
Once the file is sent,
00:00:43
it appears directly in the conversation as a card.
00:00:47
Your interlocutor can open it from the message,
00:00:50
consult it,
00:00:51
or collaborate on it,
00:00:53
depending on the available rights,
00:00:55
even though the file is visible in Teams,
00:00:59
it's actually stored in your OneDrive
00:01:02
because it's a private exchange between users
00:01:05
to find shared files in your private chats,
00:01:08
open the OneDrive app from the Team sidebar.
00:01:11
In OneDrive,
00:01:12
go to my files,
00:01:13
then open the Microsoft Teams chat files folder.
00:01:17
Here you will find the documents you have sent in your team's chats.
00:01:21
You can also use the shortcuts displayed in OneDrive to
00:01:24
quickly access certain spaces related to your teams or projects.
00:01:29
This makes it easier to find important
00:01:31
documents without manually returning to each conversation.
00:01:35
In a team channel,
00:01:37
the way it works is different.
00:01:39
Shared files aren't stored in your personal OneDrive,
00:01:43
but in the team's SharePoint space.
00:01:46
For example,
00:01:46
when you're working in a team's channel,
00:01:49
files shared with members are grouped together in the shared tab.
00:01:53
This space allows you to find documents associated with the channel
00:01:58
such as Word,
00:01:59
Excel,
00:02:01
PowerPoint files,
00:02:02
or other elements useful to the team.
00:02:05
If you want to navigate to the corresponding SharePoint location,
00:02:09
open the more options menu
00:02:12
represented by the three dots,
00:02:14
and then select Open in SharePoint.
00:02:17
Teams then opens the document library in your web browser.
00:02:22
You find the same file space
00:02:24
but in the SharePoint interface
00:02:27
with more comprehensive management options.
00:02:30
In SharePoint documents remain organized according to
00:02:34
the team and channel used in Teams.
00:02:37
This helps you understand that Teams is the collaboration interface
00:02:41
while SharePoint provides storage and organization for team files.
