Teams - Create an Approval Template Tutorial

Create an approval template in Microsoft Teams. The video walks through selecting Create or manage templates, browsing ready-made templates by category (Activity, Administration, Records, Attendance, Finance, Order management), and choosing to create from scratch. It covers configuring scope (teamwide), naming the template, assigning a category and description, designing the form with questions and mandatory fields, and setting a three-step workflow with up to 10 approval levels. Finally, it shows preview, publish, and how to locate or edit the template later.

a purchase request for example,
00:00:09
it is not necessary to start from scratch each time.
00:00:13
An approval template allows you to preconfigure the form,
00:00:16
approvers,
00:00:17
and rules once and for all
00:00:19
so that each team member can then generate their request in a few clicks.

00:01:18
You'll have to choose the type of approval you need.
00:01:22
The org wide
00:01:23
whether it should be accessible to all users,
00:01:27
specific people,
00:01:28
whether it should apply only to chosen people,
00:01:32
whether it should be reserved for members of a specific team's team.
00:01:37
In our case we choose teamwide
00:01:39
and then select the marketing team before clicking done.
00:01:43
The configuration then takes place in 3 steps.
00:01:47
First,
00:01:47
the basic settings,
00:01:49
which allows you to name the template.
00:01:51
Here,
00:01:52
marketing team purchase request
00:01:54
assign it a category,
00:01:56
finance in our example,
00:01:57
and add a description for future approvers.
00:02:00
Click next to continue.
00:02:03
Step two,
00:02:04
form design
00:02:05

00:02:09
You add the questions that the applicant will have to answer as a choice,
00:02:13
free text or date.
00:02:15
Specifying whether each is mandatory,
00:02:19
it is this form that structures the information
00:02:22
collected for each request based on this template.
00:02:25
Step 3
00:02:26
workflow settings defines the rules to be applied.
00:02:30
You can make file attachment mandatory
00:02:33
and then require responses in the assigned order
00:02:37
with up to 10 levels of approvers.
00:02:39
For each level
00:02:41
you let the requester freely enter the approver's name
00:02:44
or impose it directly if you prefer that it cannot be edited.
00:02:48
You can also make comments mandatory
00:02:51
once these settings have been made,
00:02:53
click preview to check the final rendering before clicking publish.
00:02:57
The model is now available.
00:02:59
Marketing team members can use it directly to create a new request,
00:03:03
and teams even offers to share its link with
00:03:06
your teammates so they can easily find it.
00:03:09
To find or edit it later,
00:03:10
go back to create
00:03:11
or manage templates,
00:03:13
then choose the name of the relevant team in the drop down menu.
00:03:17
Your template appears ready to be opened and re-edited
00:03:21
step by step before clicking cancel or save.
