The Microsoft Forms Quick Poll add-in for Outlook allows users to create polls quickly within an email message. This feature enhances communication by enabling instant feedback from recipients. -
Creating a Poll
To create a poll in Outlook, follow these steps: 1. Open a new email message. 2. Navigate to the 'Insert' tab. 3. Click on 'Poll' in the 'Options' tab. 4. If the add-in is not installed, go to the 'Home' tab and click on 'Get Add-Ins'. 5. Use the search bar to type 'Microsoft Forms' and select 'Poll'. 6. Once selected, the poll pane opens, allowing you to type your first question and provide two options. -
Adding Options and Customizing the Poll
In the poll pane: - Include a message in the body of the email. - Start typing your question and answers. To add more options, click 'Plus Add Option'. To remove an option, use the trash bin icon next to it. - Decide if responders can select a single answer or multiple answers by toggling the 'Multiple answers' button to the right (it will turn green). -
Previewing and Sending the Poll
After adding options, click 'Next' to validate and preview your survey. You can edit your survey or add it to the body of your email. If satisfied, a link to your poll will appear in the email body, and your name will be pre-populated in the CC line, allowing you to receive a copy and vote as well. Enter the email addresses of your recipients, and you are ready to send the poll. -
Voting Process for Recipients
Once the email is received, recipients can vote directly in the email or click on the included link to vote in a browser window. They will need to enter their email address for identification. External parties will only see the browser link, allowing them to view response summary information and refresh results. -
Checking Poll Results
To check poll results: - Use the voting card button in the email to view results. - Alternatively, click on the browser link. You can also open Microsoft Forms to view your poll's responses. The Outlook Quick Poll form is indicated by a specific icon, while regular Microsoft Forms do not have this icon. In Microsoft Forms, open the 'Responses' tab to view summary information displayed as a chart.
